HR & Executive Assistant to the Administrator

Cornerstone Eye Associates is seeking a highly organized, professional, and proactive HR & Executive Assistant to support our Administrator and help foster an exceptional workplace culture. This role is ideal for someone who enjoys balancing people-focused responsibilities with executive-level administrative support and thrives in a fast-paced healthcare environment.

As the HR & Executive Assistant, you will serve as a trusted resource for employees while ensuring the smooth day-to-day administration of human resources functions and providing direct support to the Practice Administrator.

Primary Responsibilities

Human Resources

  • Assist with day-to-day HR operations and employee relations.
  • Coordinate onboarding and orientation for new employees.
  • Coordinate and assist with offboarding for termed employees.
  • Maintain accurate and confidential employee personnel files and HR records.
  • Process and manage employee documentation, including status changes, evaluations, disciplinary documentation, and acknowledgments.
  • Complete employer portions of forms such as Disability Benefits Law (DBL), Paid Family Leave (PFL), FMLA, workers’ compensation, unemployment, and other employment-related forms and documentation.
  • Assist with employee leave administration and coordinate with employees, managers, insurance carriers, and benefit providers.
  • Prepare employee communications, announcements, newsletters, and policy updates.
  • Coordinate employee recognition programs, celebrations, and engagement initiatives.
  • Maintain compliance with federal, state, and company employment requirements.
  • Assist with recruiting activities including posting positions, scheduling interviews, reference checks, and candidate communications.
  • Support benefits enrollment and annual open enrollment activities.
  • Maintain HR databases and ensure accurate recordkeeping.

Executive Support

  • Provide direct administrative support to the Practice Administrator.
  • Manage calendars, meetings, travel arrangements, and scheduling.
  • Prepare meeting agendas, presentations, reports, and correspondence.
  • Assist with special projects, acquisitions, organizational initiatives, and administrative planning.
  • Coordinate confidential communications with physicians, leadership, and external partners.
  • Help prioritize competing tasks and ensure important deadlines are met.

Qualifications

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
  • 2+ years of HR, executive assistant, administrative, or healthcare office experience preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Comfortable managing multiple priorities while maintaining accuracy.
  • Professional, approachable, and service-oriented demeanor.
